What machinery dealers move
Dealer freight includes CNC machining centers and mills weighing 5,000–50,000 lb crated, printing and packaging lines, 5,000–30,000 lb generators, tractors, combines, planters, skid steers, compact excavators, mini loaders, HVAC rooftop units, food-processing systems, metalworking presses, and laser cutters. A machine’s invoice value does not determine the trailer; footprint, center of gravity, loading method, and route do.
Choose the trailer with math
Start with a flatbed when the loaded height stays legal and the machine can be crane-lifted or forklifted. Escalate to a step deck when deck height reduces the overall height. Use a double-drop RGN when the load is too tall for a step deck, too heavy for ordinary ramps, or self-propelled and best driven on. An RGN’s removable gooseneck creates a ramp; verify ground clearance, ramp angle, tire width, and whether the machine can cross the deck transition without belly contact.
For crated machinery, the crate needs engineered fork pockets or marked crane lift points. “Forklift at destination” is not enough if the facility owns a 6,000 lb forklift and the crate weighs 18,500 lb. Drive-on equipment needs functioning brakes, steering, adequate clearance, and a trained operator. Confirm tie-down ratings, blanket wrap, and finished-surface protection before dispatch.
Permits and buyer expectations
An ordinary oversize permit often takes 24–72 hours and may cost $30–$100 per state. Loads over 16 feet wide or 150,000 lb gross can trigger SUPERLOAD review with routing, bridge analysis, and one-to-four-week lead times. Pilot-car rules vary by state and width. A commercial carrier cannot assume an agricultural or local exemption applies to a dealer shipment.
When a buyer pays $350,000 for a machine and moves it 1,000 miles, the freight cost—often $3,000–$8,000, or 1–2% of value—must not become the story. White-glove execution means one driver where possible, a two-hour delivery call, pickup and delivery condition photos, foam or blanket protection, and no unexplained relay.
What fails and how visibility prevents it
The classic failure is a flatbed arriving for a load that requires a step deck. Other failures include a permit missing at the scale, a buyer absent with no rigger, and a cosmetic scratch that cannot be attributed because pickup photos were never taken. Worked example: crated CNC turning center
A CNC turning center is 18,500 lb crated, 10 feet 4 inches high, 8 feet 10 inches wide, and 14 feet long. It moves from a Cleveland manufacturer to a St. Louis job shop, 480 miles. A step deck has a 34-inch deck: 10 feet 4 inches plus 34 inches equals 148 inches, or 12 feet 4 inches, legal for height on this route. Width is 8 feet 10 inches, so Ohio and Indiana oversize permits are required. The width does not itself trigger the stated Ohio pilot-car threshold of over 12 feet, but routing and escort requirements are confirmed with the permit.
The quote is $4,200 including permits and pilot-car planning. Delivery is Tuesday, 10:00 a.m.–noon. Dispatch catches a dangerous mismatch: the buyer’s 6,000 lb forklift cannot lift an 18,500 lb crate. The buyer rents a qualified 20,000 lb rigger before the truck departs. At pickup, the carrier photographs the crate corners and wraps finished surfaces; at delivery, the rigger unloads without dragging the crate and signs after inspection.
A machine is more than its gross weight
Record the center of gravity, axle loading, crate overhang, and whether coolant, batteries, or hydraulic fluid remain in the equipment. A 30,000 lb press with a narrow footprint can overload one trailer axle even when gross weight is under 80,000 lb. The carrier should verify the number and rating of chains, not merely promise “securement.” For a finished laser cutter, cover optics, control cabinets, and polished rails with the manufacturer-approved materials; ordinary moving blankets can shed fibers or rub paint.
Delivery planning also includes the receiver’s floor. A 20,000 lb rigger may have the lifting capacity but not the wheel load rating for a mezzanine or polished shop floor. Confirm doorway height, turning radius, dock plate rating, and whether the machine enters upright. These facts belong in the tender so the carrier can price a rigger, escort, or second technician before the truck is committed.
Crated, bare, and operational
Ask whether the manufacturer’s shipping crate is part of the rated shipping weight. Some CNC builders ship a 16,000 lb machine in a 2,500 lb timber case; others remove coolant and accessories and list them separately. The carrier needs the gross figure used for axle planning. Mark the crate’s “this side up” and center-of-gravity indicators, then keep them visible after tarping.
For drive-on equipment, verify fuel level, DEF, battery isolation, tire pressure, and whether the unit can climb the RGN ramp under its own power. A dead battery at pickup turns a routine load into a winch or crane job. Do not use a loader bucket or fork pocket that the manufacturer did not approve. These checks protect the equipment and prevent the driver from improvising in a customer’s yard.
