Escalate deliberately

A machine under legal height and weight can ride on a flatbed. A taller crate often belongs on a step deck. Heavy or drive-on equipment may need a double drop or RGN. The 46,000-pound threshold is a useful planning signal, not a universal legal line: axle weights, trailer tare, state rules, and route constraints still decide the move.

These are dispatch planning limits, not a substitute for axle and bridge-formula calculations. Trailer tare, axle spacing, tire ratings, load concentration, route restrictions, and state definitions control the final answer. An 80,000-pound gross move can still be overweight on one axle if a short machine footprint concentrates the load.

Standard flatbed and step deck math

A flatbed deck is approximately 60 inches above the road. Cargo at 7 feet gives 60 + 84 = 144 inches, or 12 feet. Cargo at 8 feet gives 60 + 96 = 156 inches, or 13 feet. Cargo at 8 feet 6 inches gives 60 + 102 = 162 inches, or 13 feet 6 inches: a borderline measurement requiring a loaded-height check.

A step deck lower deck is about 34 inches. An 8-foot machine is therefore 34 + 96 = 130 inches, or 10 feet 10 inches. A 9-foot-4-inch machine is 34 + 112 = 146 inches, or 12 feet 2 inches, comfortably under the common 13-foot-6-inch limit.

Crated versus drive-on

Crated machinery requires a forklift or crane. Confirm crate length, width, height, gross weight, center of gravity, fork-pocket spacing, and crane lift-point ratings with the rigging crew before dispatch. Four lugs marked 8,000 pounds each do not automatically make a 28,000-pound offset load safe. The crate, skids, attachments, and blocking all count.

Drive-on machinery can move under its own power, with a push car, or by winch. An RGN’s removable gooseneck creates a ramp, but approach angle, breakover angle, and minimum ground clearance are decisive. Low-clearance pavers and generators can drag on the ramp transition. If clearance is marginal, use a step deck with a crane rather than forcing an RGN loading plan.

Permits, pilots, and the customer experience

A single-trip oversize permit commonly costs $30–$100 per state for standard overwidth or overheight freight. Annual permits exist in some states. A superload—often above 150,000 pounds or wider than 16 feet—usually requires engineering review, route studies, and one to four weeks of lead time. Budget $500–$2,000 or more per state before escorts.

Pilot-car rules vary. Common planning triggers are one front escort over 12 feet wide, front and rear over 14 feet, and an escort above 14 feet 6 inches tall in many states. Verify each route. Pilot cars commonly charge $2–$5 per mile plus a $150–$300 setup fee.

A buyer paying $250,000 or more for equipment expects no scratches, dents, or paint damage; a driver who stays with the load; a two-hour advance delivery call; blanket wrap or foam padding; and pickup and delivery photos. Freight costing $2,000–$8,000 on a $500,000 machine is not where to cut controls.

Worked example

A 28,000-pound CNC machining center is crated at 9 feet 4 inches tall and 10 feet 2 inches wide. On a flatbed, the loaded height is 15 feet 4 inches, so it fails the practical height test. On a step deck it is 12 feet 2 inches and fits without a height permit. Its 10-foot-2-inch width exceeds the common 8-foot-6-inch legal width, so an overwidth permit and, on most routes, a front pilot car are required. A realistic 600-mile quote is $3,800–$5,500 including permits, escort, loading, and appointment risk. Review flatbed cargo insurance, carrier vetting, and flatbed vs. step deck vs. RGN before tendering.

Measure the packed machine, pallet, attachments, and blocking. A 9-foot-4-inch crate can become over-height on a flatbed but fit on a step deck. An RGN adds ramp access and a lower center of gravity, but it also adds permits, route planning, and a carrier premium often 40–80 percent above a standard flatbed.

White-glove delivery

Dealers and buyers expect no scratches, clean paperwork, exact timing, and a receiver present. Confirm fork pockets, lifting eyes, ramp angle, tie-down points, and whether the crate can be lifted. State permit responsibility and pilot-car requirements in writing. A permit pulled after dispatch is not a plan.

For a 28,000-pound CNC machine in a 9-foot-4-inch crate, a step deck is a likely starting point. Verify final height from the road, route restrictions, loading forklift capacity, and buyer availability before quoting.

Dispatch information to collect

Send the carrier a dimensioned drawing, gross shipping weight, center of gravity, loading photographs, lift-point details, and delivery-site contact. State whether the machine can be driven, pushed, or lifted; whether batteries or fuel must be isolated; and whether the destination has a crane, forklift, or only a level paved surface. A trailer decision made from a one-line purchase order is preventable rework.

Have the carrier confirm loaded height and axle plan before pickup. The driver should photograph the empty deck, machine before securement, each tie-down group, and the completed tarp. Those records protect the shipper when a route inspector, receiver, or claims adjuster asks what actually moved.
